Pre-Departure Checklist: A Timeline from Visa Approval to University Registration
What to Do After Your Visa is Approved: Verify visa details and passport validity, book flights within your allowed entry window, arrange accommodation for the first few nights, sort out insurance and finances, note down your school's emergency contact, keep entry documents in a carry-on folder, pack according to Australian quarantine regulations, and ensure you check in with your school before classes start in the US. Includes a one-page pre-departure checklist.
Once your visa is approved and you are a few weeks away from departure, it is easy to assume everything is sorted. However, missing any detail—verifying visa information, entry dates, insurance, accommodation, carry-on documents, or university registration—can turn into a hassle upon arrival. Based on official government websites of the US, UK, Canada, and Australia, this article provides a chronological checklist of what to do before and after departure.
1. Right After Getting Your Visa
- Verify visa information: Check if your name, date of birth, and passport number match your passport, and if the visa type and conditions are correct. For the US, confirm the visa type is correct and the name and date of birth match your passport; for the UK, check your eVisa in your UKVI account to ensure your passport is linked; for Canada, verify the information on your Port of Entry (POE) Introduction Letter.
- Check passport validity: Australian authorities recommend at least 6 months of validity remaining; the US also requires over 6 months of validity for re-entry. If it is expiring soon, renew it before departure.
- Confirm entry dates:
- US: New students can enter up to 30 days before the program start date on the I-20;
- UK: For courses longer than 6 months, up to 1 month before the start date; for courses 6 months or shorter, up to 1 week before;
- Canada: No specific earliest entry date, but you cannot work before classes start.
- Book flights according to your entry date, allowing enough time to settle in at your university.
2. One Month Before Departure
Accommodation
Make sure to book accommodation for at least the first few nights before departure. Australian authorities specifically highlight this; students under 18 must also have appropriate guardianship and welfare arrangements in place. Write down your accommodation address, as you may need to fill it in upon entry.
Insurance
- UK: The Immigration Health Surcharge has already been paid with your visa;
- Australia: Confirm that OSHC takes effect from your entry date and covers the entire visa period;
- US: Purchase insurance or apply for a waiver as required by your university;
- Canada: Check with your university about provincial health insurance arrangements and how to cover the gap before it takes effect.
See our guide on how to buy visa insurance.
Money
- Carry some local currency upon arrival for immediate expenses like transportation and meals;
- Check if your domestic bank card can be used for cash withdrawals locally and what the fees are;
- Plan to open a local bank account after arrival;
- Do not carry cash exceeding the declaration limit. If it does, declare it truthfully: over $10,000 for the US, £10,000 or more for the UK, C$10,000 or more for Canada, and A$10,000 for Australia.
University
- Write down the contact information for your university's international student office. The US Department of Homeland Security recommends getting the DSO's daytime phone number and 24-hour emergency contact before departure;
- Confirm registration dates, orientation events, and enrollment arrangements;
- US students should confirm their SEVIS record status is active.
3. One Week Before Departure: Prepare Your Carry-On Document Folder
This is the most crucial step. Documents needed for entry must be kept in your carry-on luggage, as you will not have access to checked baggage before clearing customs.
| Country | What to Include in Your Carry-On Document Folder |
|---|---|
| US | Passport, visa, signed I-20, admission letter, SEVIS fee receipt, proof of funds, DSO contact information |
| UK | Passport linked to eVisa; you can generate a share code in advance; CAS information and admission documents |
| Canada | Passport, Port of Entry Introduction Letter, copy of admission letter, eTA or visitor visa, medical exam results (if required) |
| Australia | Passport and visa documents, accommodation address, pen for filling out the incoming passenger card |
Additionally, it is recommended to bring: proof of insurance, proof of funds, university and accommodation addresses and phone numbers, regular medications, and doctor's prescription notes. The US Department of Homeland Security also recommends making two copies of important documents—one for your family and one for your university.
4. While Packing Your Luggage
- Going to Australia: Fresh fruits, vegetables, meat, eggs, and dairy products are prohibited; all food, plant, and animal products must be declared. Failure to declare can result in fines up to A$6,600 and possible visa cancellation. If in doubt, declare it or leave it behind.
- Medications: Bring prescriptions and instructions for long-term medications, and declare them as required by the destination country.
- Power adapters and clothing suitable for the local climate.
5. Arrival and Entry
- Answer border officials' questions truthfully and present your carry-on documents;
- Upon entry to the US, you will receive an I-94 arrival/departure record;
- In Canada, the border officer will issue your study permit on the spot; verify the information once received;
- In Australia, fill out the Incoming Passenger Card and declare items truthfully.
For details on the entry process, see our guide on international student entry guide.
6. After Arriving at Your University
- US: Contact your university as soon as possible after entry, and you must report to the university before the program start date on your I-20. If you cannot enter on time or will be a few days late, contact your DSO immediately.
- UK: Confirm your information is correct in your UKVI account; use the share code when you need to prove your identity.
- Canada: If your study permit indicates work conditions, you can apply for a Social Insurance Number (SIN).
- Australia: Register as required by your university; apply for a Tax File Number (TFN) before starting work.
- Mark the expiration dates of your visa, permit, passport, and insurance on your calendar, and prepare for renewals in advance. See how to renew your visa for details.
